All my stuff is here including the plant wash and we are ready to rumble....So its a very large job but before they award us the contract, management wants a formal letter removing their concerns of the chemicals on the grass and around the students..in case anything happens I am going to be at fault. Can I get some guidance brothers...it makes me remember the pre Inspection worksheet...SOS...Thanks.

Laurie,
You will need a second person on the job doing ground / crowd control. Also water everything and in some cases rinse and DRY if there are going to be people around. Hand wipe door jams so that chems and water dont remain ontop of the door for the next person to get splattered when the door is open. There is allot to watch out for. JUST TAKE YOUR TIME AND GO SLOW!

you need to use terms like "every precaution will be taken....", or "we will make every effort to...."

The funny things is that they want me to assure them that nothing would happen to their plants... Ac... I am going to run two crews; two men each... I am going to be doing all the soft washing in the large open areas. There is also a lot work to be done where I intend to use a surface cleaner :benches,,,, narrow walkways , removal of chewing gum, dirt etc. There is a flat area about 45000 sq where I plan to exersize my rights as a lead tech. I think it was this area that landed me the job and gave me the advantage Over my other bidders.. the job is coordinated to start on jully 28 so I should have my rig setup and more confident by then..

My letter to submit is as follows; Re: Additional information about our Soft Washing processes that we wish to implement within the cleaning process of the JFK Quadrangle. NOTE: This system is an agricultural style spraying system that cleans roof and exteriors by applying bio-degradable cleaning chemicals to the desired surfaces.
• All Aspects workers will use chemicals that are environmentally responsible and or biodegradable and break down into either carbon or water within 3 days of their introduction to the environment. • All Aspects workers will keep Material Safety Data Sheets (MSDS) for each chemical carried and in use on their truck. • All Aspects workers are advised to utilize proper disposal and or collection methods to insure that good stewardship of the environment is observed. • Whenever our SoftWash chemicals are being used, the area would be cautioned off accordingly with cones and highly visible caution tape. • All Aspects workers are advised and orientated in the recommended procedure for collection of "run-off" or waste streams, following local municipal BMP's. (Best Management Practices) • All Aspects Ltd. would take the responsibility of all necessary precautions in the preservation of ALL greenery in and around the quadrangle during and after cleaning to insure that these areas are not affected.
At our last site visit we have excluded areas where our Softwashing process would not be utilized, these areas include, Sidewalks, Pavements and Bench areas.
Regards,

This sounds like a pretty big job for somebody just coming out of the gate. Hopefully you can get familiar with your equipment and chems before the July start date. A lot can go wrong and being new to this business, raises the probability.
I wouldn't use phrases like 'take responsibility' in correspondence with the customer. You may want to use words like 'usual and customary' instead. IE: All Aspects Ltd. exercises usual and customary BMP's in addition to job site specific safety precautions regarding but not limited to the health and well being of pedestrian traffic, employees, personal and real property, and the environment. All Aspects Ltd., practices proactive problem detection and prevention in our ongoing effort to circumvent the implementation of our reactive problem resolution and remediation procedures.
Now that's just some food for thought, but the idea is to make the decision maker(s) comfortable that you are a responsible company who's going to do everything you can to protect their patrons and property, as well as assure them that you are prepared to correct any potential problems that arise.
Good luck with the job!

Add a third person to each crew , just to keep people away , and have that extra set of hands just in case . Someone wakling by will complain about something .that third person wil be there to handle those situations .

Hey guys, Thanks alot... The reality of this is that the campus manager does not want to answer any questions if there are any problems, so God forbid that if any thing were to go wrong, All Aspects would be liable and not him.. I feel as if we all work for the same company, with just different branches world wide....:)
